Auto Lenders: Unified Collaboration & Strengthened Security with Microsoft 365

The Client

Auto Lenders Case Study ImageAuto Lenders is an independent, family‑owned automotive company that has proudly served customers with transparency and care since 1990. The company offers a full‑service car‑buying experience, allowing customers to buy, sell, or trade used vehicles, secure financing, and complete vehicle servicing at any of its locations.

Originally founded in New Jersey with multiple locations, Auto Lenders has continued expansion plans across the East Coast.


The Need

Auto Lenders had been exploring a move to Microsoft 365 for several years. As a Microsoft‑centric organization running Windows servers, Windows endpoints, and Microsoft‑based systems, the team recognized that consolidating onto a unified platform would unlock deeper integration, centralized management, and advanced security capabilities that aligned with how the business actually operates.

While the value was already clear, the organization needed the right partner to ensure the migration would be seamless, low‑risk, and minimally disruptive — going beyond simply moving email and files.

The catalyst that accelerated the decision came from rising costs. Following Google's licensing increases tied to the rollout of its Gemini capabilities, Auto Lenders began reassessing the overall value of its productivity platform, prompting the team to formally pursue a transition.


 

The Challenges

As Auto Lenders evaluated a shift to Microsoft 365, the organization faced a mix of technical, operational, and user experience challenges that made execution high risk without the right partner.

Fragmented Productivity & Divided User Experience

For years, Auto Lenders was effectively "living in two places." Some teams relied on Google Workspace, while others required Microsoft tools like Excel for advanced macros, automations, reporting, and server based workflows. These needs couldn't be met in Google Workspace, forcing the organization to maintain a Microsoft tenant alongside Google.

This fragmented setup created inefficiencies, inconsistent user experiences, and unnecessary complexity across identity, email, file sharing, and collaboration.

Limited Integration & Missing Capabilities

While Google Workspace met basic email and productivity needs, it lacked the deep integration, enterprise-grade security, and compliance capabilities that Microsoft delivers natively, especially around device management, endpoint protection, and data governance.

"We had a very aggressive need for an MDM solution that manages all of our devices centrally — something Google just doesn't support at the same level."

Although Google Enterprise could technically mimic certain features, it fell short of Microsoft's maturity and native integration across the full stack. Other potential partners also failed to provide strategic guidance. None suggested alternative licensing models or demonstrated deep access to Microsoft licensing experts, leaving Auto Lenders without confidence that costs and capabilities were truly aligned.

Administrative controls now prevent users from oversharing sensitive information, shifting governance from reactive to proactive.

"We were able to apply sensitivity labels thanks to the implementation of the security hardening. Information our internal teams could share publicly, we now have it locked down on the admin side. Having those tools built in is invaluable and it's a security win that we never had before."

Stronger Identity & Access Controls

The introduction of just‑in‑time administrative access significantly reduced risk by eliminating always‑on admin privileges.

"Everybody has basic accounts and just‑in‑time access. That's another piece that's a giant win."

Operational Efficiency & Security Awareness

One of the most impactful capabilities was CrucialLogics Report Phishing button, it enabled faster threat response, richer security analytics, and seamless integration with the organization's security operations and cybersecurity training programs.

"It might sound small, but it's such a big win. That data and analytics go to our SOC team, and our cybersecurity training is integrated with that as well."

By moving to Microsoft 365, third‑party tools integrated more effectively, while giving IT stronger control and visibility over which applications could connect to the environment.

"Some of our third‑party solutions never integrated with Google the way they integrate with M365. It's night and day."
